How to Choose the Right Event Venue

Whether it’s for a birthday party, wedding, or corporate event, choosing the perfect venue can make or break your experience, so it’s important to get it right.

1. Start Looking Early

When it comes to booking a venue, it’s important to start looking early. If you have the luxury to book your space 6-8 months in advance, then you will have plenty of time to select vendors, book entertainment, line up catering, and select decor that matches your theme.

 

2. Consider the Location

Location is key when choosing a venue. The ideal venue is easily accessible to your guests and located in a safe and convenient area. Make sure the venue has adequate parking and restrooms. If your guests are coming from out of town, look into affordable hotel options in the nearby area.

 

3. Capacity Matters

Depending on the type of event you’re hosting, you’ll need a venue that can comfortably accommodate your guests. Before making a decision, be sure to check the capacity of the venue to ensure that it can meet your needs, and that it has the appropriate number of restrooms and amenities.

 

4. Amenities Are Essential

It’s important to consider the amenities for your event ahead of time. If you’re looking for a creative, versatile space, look for a venue that can be easily transformed to suit your event. Consider entertainment amenities too. Search for a venue that offers DJ and audio equipment, video capabilities, or even a photo booth.

 

5. Indoor vs. Outdoor

When planning your event, decide whether you want your event to be fully indoors, outdoors, or a combination of both. If you’re planning an outdoor event, make sure the venue has a backup plan in case of bad weather. Notice the time of year that you are booking which can help indicate potential weather. Indoor and outdoor venues also have very different atmospheres to consider.

If you need tables, chairs, tents, booths, dance floor, or particular decor for your event, consider a space that provides party rental services, or has a event person on staff who can coordinate. Not only will this save you time, but you also won’t have to rent equipment from a separate vendor.
